Terms of Service

These terms are an agreement between you and Collectors Venue (“we”, “us”). By creating an account, buying a ticket or using collectorsvenue.com or app.collectorsvenue.com, you agree to them.

1. What Collectors Venue does

Collectors Venue is software for collector shows. Hosts publish event pages, sell admission tickets, accept vendor applications, invoice vendors for tables and check people in. Vendors apply for tables, pay invoices and list stock. Attendees buy tickets, follow vendors and keep wish and trade lists.

We provide the tools. We do not organize, run or attend any show, and we are not a party to the sale of a ticket or table. Each event is the responsibility of its host.

2. Accounts and eligibility

  • You can sign in with Google or with an email and password. Keep your login private; you are responsible for activity on your account.
  • You must be at least 18, or the age of majority where you live, to host, vend or create an account. Attendees under that age may buy tickets only with a parent or guardian’s permission.
  • Give accurate information, including your name, business name and contact details, and keep it up to date.
  • You may buy tickets without an account. Those tickets are emailed to you, and they join your account later if you sign up with the same, confirmed email address.
  • One person or business may hold more than one account only if each is used for a real purpose, not to get around a suspension or a limit.

3. Hosts

If you publish an event, you are the organizer and the seller. You agree to:

  • Describe the event accurately: dates, times, venue, prices, table sizes and rules.
  • Hold any permits, venue agreements and insurance the event needs, and follow local laws, including consumer, accessibility and health and safety rules.
  • Honour the tickets and tables you sell, and your own refund policy. Your policy must be shown on your event page or invoice.
  • Charge and remit any sales tax that applies to you. Collectors Venue only adds the tax lines you set; you choose the rates and file the returns.
  • Use attendee and vendor details only to run your event and to contact people about it, or about future shows when they opted in. You are responsible for that information under privacy law.
  • If you cancel an event, tell ticket holders and vendors promptly and refund them as your policy and the law require.

4. Vendors

If you apply for a table, you agree to:

  • Give accurate application details, photos and documents, such as insurance certificates.
  • Pay invoices by their due date in the ways the host offers, and follow the host’s rules at the show.
  • Sell only items you have the right to sell. No counterfeit, stolen, unlicensed reproduction or illegal goods, and describe items and their condition honestly.

The host decides whether to approve an application and which booth you get. Your agreement for the table is with the host.

5. Attendees

  • A ticket is a licence from the host to attend the event under the host’s rules. The host can refuse entry, for example for unsafe behaviour.
  • Each ticket has a QR code that works once at the door. Keep it private; a copied code may be used by someone else first.
  • Ticket questions, refunds and changes are handled by the host. Contact them through the event page.

6. Payments

Card payments are processed by Stripe. Each host connects their own Stripe account, and payments for their tickets and invoices go directly to that account. The host is the merchant of record, so the host’s name appears on receipts and handles refunds and disputes.

Payment processing services for hosts are provided by Stripe and are subject to the Stripe Connected Account Agreement, which includes the Stripe Terms of Service (together, the “Stripe Services Agreement”). By connecting a Stripe account, you agree to the Stripe Services Agreement, as Stripe may modify it. As a condition of Collectors Venue enabling payment processing through Stripe, you agree to give us accurate and complete information about you and your business, and you authorize us to share it, and transaction information related to your use of the payment processing services provided by Stripe.

We never see or store full card numbers. Payments by Interac e-Transfer, cash or other methods the host offers happen outside Collectors Venue; the host marks them as paid.

7. Host plans, fees and taxes

  • Vendors and attendees use Collectors Venue free of charge.
  • Hosts can use the Free plan or subscribe to a paid plan (Basic or Pro). What each plan includes and its current price are shown on our Pricing page and in the app. The Free plan includes one active event at a time.
  • Paid plans are billed in advance by Stripe on our behalf, monthly or yearly, in Canadian dollars, US dollars, pounds or euros, and renew automatically at the end of each period until you cancel. Any sales tax that applies is added where required.
  • You can cancel at any time from your billing page. Your plan stays active until the end of the period you’ve paid for, then your account moves to the Free plan. We don’t refund partial periods, except where the law requires it.
  • If you subscribe at a launch price, you keep that price for as long as your subscription stays active without a break. If it ends, a new subscription is at the price offered at that time.
  • If a paid plan ends, your events and information stay in your account, but paid features stop and you can’t create new events beyond the Free plan’s limit.
  • Collectors Venue does not charge fees on ticket or table sales. If we change our prices or add a fee, we will tell hosts at least 30 days ahead; a price change for an existing subscription applies from your first renewal after that notice.
  • Stripe charges its own processing fees to the host’s Stripe account.
  • A host may pass processing costs to ticket buyers as a service fee, shown at checkout before payment.
  • Ticket and table prices are in the currency the host sets for each event. Any tax the host sets is shown separately at checkout and on invoices.

8. Refunds and cancellations

Refunds for tickets and tables follow the host’s policy. Hosts can refund ticket orders from their Orders page; the money returns to the original card, usually within 5 to 10 business days. Stripe keeps its processing fee on refunded payments, so refunds cost the host that fee.

If you cannot reach a host about a refund, contact us and we will try to help, but we cannot issue refunds for hosts. You may also have rights through your card issuer.

9. Check-in

Hosts on plans that include check-in can check tickets in at the door with Collectors Venue, and can share a private check-in link with their door staff. Hosts are responsible for who has that link and for replacing it if it is shared beyond their staff.

10. Your content

You keep ownership of what you upload: photos, logos, event descriptions, profile pages, stock and lists. You give us a non-exclusive, worldwide, royalty-free licence to host, display and share it as needed to run Collectors Venue, for example showing your event page or making social post images you request. The licence ends when you delete the content or your account, except for copies already shared with others, such as a host’s records of your application.

You confirm you have the rights to what you upload, including photos of cards and other items.

11. Acceptable use

Don’t:

  • Break the law, or post anything fraudulent, misleading, hateful, harassing or infringing.
  • Sell or list counterfeit, stolen or illegal goods, or tickets to events that aren’t real.
  • Use other people’s information for anything except the event it was shared for, or send spam.
  • Try to get into accounts or data that aren’t yours, probe or overload the service, or scrape it.
  • Resell tickets above face value where the law or the host forbids it.

12. Suspension and closing accounts

You can close your account at any time by contacting us; cancel any paid plan first. We may suspend or close accounts, or remove events or content, that break these terms or put others at risk. Where we can, we will tell you why and give you a chance to respond. If a host’s account is closed, they remain responsible for refunds and obligations from their past sales.

13. Disclaimers

Collectors Venue is provided “as is” and “as available”. We work to keep it running and accurate, but we don’t promise it will be uninterrupted or error-free. We don’t check or guarantee events, hosts, vendors, items or listings, and we aren’t responsible for what happens at a show.

14. Limitation of liability

To the extent the law allows, Collectors Venue is not liable for indirect, incidental or consequential losses, lost profits or lost data. Our total liability for any claim about the service is limited to the greater of CAD $100 or the fees you paid us in the 12 months before the claim. Nothing in these terms limits rights you have under consumer protection law that can’t be waived.

15. Indemnity

If you host or vend, you agree to cover our reasonable costs from claims caused by your event, your sales, your content or your breach of these terms.

16. Governing law

These terms are governed by the laws of Ontario and the federal laws of Canada that apply there. Disputes go to the courts of Ontario, unless the law where you live gives you the right to bring a claim there.

17. Changes to these terms

We may update these terms as Collectors Venue changes. For significant changes, we will give at least 30 days’ notice by email or in the app. Continuing to use Collectors Venue after a change takes effect means you accept the updated terms.
