Privacy Policy

We collect only what Collectors Venue needs to run shows, sell tickets and tables, and send the emails that go with them. We don’t sell personal information or show ads. This policy covers collectorsvenue.com and app.collectorsvenue.com, run by Collectors Venue (“we”).

1. What we collect

If you start a vendor application before signing in, your answers and files are kept in your own browser until you create an account and send it.

2. How we use it

  • To run your account and the features you use: event pages, applications, invoices, tickets, check-in, profiles and lists.
  • To send service emails: sign-in links, application updates, invoices, receipts, tickets, reminders and refund notices. These aren’t marketing, so they can’t be turned off while you use the feature, but hosts can turn off their own notification emails.
  • To process payments and host plan subscriptions through Stripe and keep records of them.
  • To keep Collectors Venue secure, prevent fraud and fix problems.
  • To meet legal obligations, such as tax and accounting records.

We don’t use your information for advertising, and we don’t sell or rent it.

3. Who sees what

  • Hosts see what you give them for their event: your vendor application, invoices and payments, or your name, email and tickets when you buy for their show. If you tick “Email me about future shows from this host”, the host may email you about their shows. Each host is responsible for how they use this information.
  • Vendors see the host’s name, event details and invoices.
  • The public sees published event pages, including the vendor directory and floor plan if the host turns them on, which show approved vendors’ business names, photos and booths. It also sees profile pages you publish and trade lists you make public. Your email isn’t shown unless you choose to show it.
  • Door staff with a host’s check-in link see ticket holders’ names, order numbers and check-in status for that show.

4. Service providers

We use trusted service providers to run Collectors Venue: hosting, database and file storage, card payments and billing, email, and sign-in. They handle information only to provide their service to us. A list of our service providers is available on request: email support@collectorsvenue.com.

We may also share information if the law requires it, to protect people’s safety, or as part of a sale or transfer of Collectors Venue, in which case this policy continues to apply to it.

5. Where it’s stored and how long we keep it

Our database and uploaded files are stored in Canada. Some of our service providers process data in the United States or elsewhere, where it may be subject to local laws, including access by authorities.

  • Account and profile information: until you delete your account.
  • Records of sales, invoices, tickets, payments and plan billing: up to 7 years after the transaction, for tax and accounting, then deleted. A host’s copies of their own records follow the host’s obligations.
  • Insurance certificates and application photos: while the application exists, and deleted with your account.
  • Server logs: a few weeks.

6. Security

We use encrypted connections, access controls so each person sees only what’s theirs, and providers with strong security practices. Card details are handled only by Stripe. No system is perfectly secure; if a breach puts you at real risk of significant harm, we will tell you and the Privacy Commissioner of Canada as the law requires.

7. Cookies and browser storage

We use cookies only to keep you signed in. We also store a few things in your browser, such as a vendor application you haven’t sent yet. We don’t use advertising or tracking cookies.

8. Your choices and rights

You can see and change most of your information in your profile. You can also ask us to:

  • Give you a copy of the personal information we hold about you.
  • Correct it.
  • Delete your account and information, except records we must keep by law.
  • Stop optional uses, such as a host’s future-show emails, which you can also turn off with the host.

If you’re in the EU or UK, you also have the rights to restrict or object to processing and to data portability. We rely on contract (to provide the service), legitimate interests (security and improving the service), consent (optional emails) and legal obligations.

To ask, email support@collectorsvenue.com. We will reply within 30 days. If you aren’t satisfied, you can complain to the Office of the Privacy Commissioner of Canada, or to your local data protection authority.

9. Children

Collectors Venue isn’t for children under 13, and we don’t knowingly collect their information. Accounts are for adults (see the Terms). If you think a child has given us information, contact us and we will delete it.

10. Changes to this policy

We will post updates here with a new date. For significant changes, we will tell you by email or in the app before they take effect.
